Opening in an Ayala Mall? Here's How POS Accreditation Works, From Lease to Launch

Imagine you've just signed the lease. The space is yours, the contractor is booked, and your supplier is lined up. Then someone from the mall mentions, almost in passing, that your POS has to be connected to the mall's system before you can open.

If your first reaction was "wait, what does that mean?", you're in good company. Most new tenants have never heard of mall POS accreditation until the week they need it. (This scenario is hypothetical, but it's a common one.)

The good news is that the process makes a lot more sense once you see it as a journey with a few clear stages. Let's walk through it, so you know what to expect and what to ask before you buy anything.

Stage 1: The Lease Says "Approved POS"

Almost every mall wants to see your sales. Percentage rent is one reason, and consistent reporting across hundreds of tenants is another. So malls usually require tenants to use a POS that's approved to connect to their systems.

Ayala Malls' own tenant requirements aren't public, as far as we could find, so we can't quote them. What we can say is what the mall side looks like from the outside. A job listing for Ayala Malls Gatewalk Central describes a role that would monitor compliance of percentage-paying merchants with sales reporting and POS submission requirements, make sure POS sales reports reach Ayala Malls Group Compliance and Mall Operations accurately and on time, and handle the onboarding, accreditation, and network connectivity of new merchants' POS terminals to the Ayala Malls POS Consolidator. You can see the original listing for yourself.

A hiring ad isn't an official policy, so don't treat it as a rulebook. But it tells you something useful: onboarding, accreditation, and connectivity are real jobs inside the mall, which means they're real steps for you.

Your move: ask your leasing contact for the current POS requirements in writing, before you pick a provider.

Stage 2: Choosing a POS (and Decoding "Accredited")

Here's where tenants get tangled up. When a provider says it's "accredited," that might mean three different things:

  • BIR accreditation or registration. Your POS meets tax requirements.
  • Mall accreditation. The mall operator has approved that POS for its tenants.
  • Official partner status. A commercial arrangement, which isn't the same as approval.

You'll also notice the claim is everywhere. One provider lists accreditations from BIR, Robinsons, Megaworld, SM, Ayala, and others, another lists Ayala among its accredited malls, and a third announced accreditation by SM Supermalls, Robinsons, Ayala, Greenhills, and Estancia. Since so many providers say the same thing, the badge alone tells you very little. What matters is proof.

So ask any provider, including us:

  • Which Ayala malls and branches are you set up for?
  • Can I see the accreditation letter or listing, with dates?
  • Who at the mall can confirm it?
  • Is the exact POS version you're selling me the one that's approved?

It's also worth knowing that BIR rules are a separate layer. You can read more on our page about BIR POS accreditation, and on BIR updated e-invoicing.

Stage 3: Accreditation and Onboarding

This is the stage that surprises people most, because a lot of it happens out of sight.

If your provider is already approved for your mall, much of the heavy lifting has been done. If it isn't, accreditation can eat into your opening schedule. One provider claims that pre-accreditation with a mall can save 30 to 60 days per location, and that each mall chain has its own POS accreditation process. That's a vendor's own figure, so treat it as a rough guide, but the lesson holds: ask about timing before you commit to a provider or a fit-out date.

A good provider also handles more than the paperwork. The mall may need your terminal onboarded and connected to its network, which means someone on the vendor side has to coordinate with the mall's team. Ask who does that, how long it usually takes, and who you call if something stalls.

Where Divergent POS fits

Divergent POS lists Ayala Malls among the accredited mall partners on our homepage, as part of a partial list that also includes SM, Ortigas, Megaworld, and Rockwell. We've served Filipino businesses since 1997, and our systems come with hardware, software, installation, training, and support.

One of our restaurant clients, Sisig Hooray!, describes our POS as easy to use and "already accredited with malls," and says our team is quick to program a custom feature when they need one. That's the kind of experience we aim for, but requirements differ by mall and branch, so we always confirm the specifics for each tenant.

Stage 4: Connecting to the Mall's System

Once your POS is approved, it needs to start sending your sales to the mall. In plain terms, your terminal reports sales on a regular schedule to the mall's central system, and the mall uses that data to check your reporting.

This is where small problems turn into big ones. If sending stops, the mall may notice before you do. So before you sign with any provider, ask:

  • Who monitors sales sending, you or the vendor?
  • How will you know if it stops?
  • How fast is the fix, and does support cover weekends and evenings?

If you use a restaurant POS, a cafe POS, or a retail POS, these questions are the same. What changes is how busy the counter is when something goes wrong.

Stage 5: Testing and Go-Live

The week before opening is for rehearsal, not surprises. A short checklist:

  1. Ring up test sales, including a discount and a void.
  2. Check your receipts. Make sure they're BIR-ready.
  3. Confirm the mall receives your data, with your provider or the mall's team.
  4. Test what happens when the internet drops. Good POS software should keep recording sales and sync once you're back online.
  5. Train your staff. Everyone who handles the counter should practice.
  6. Check your equipment. Make sure your POS hardware is installed, working, and positioned where your team can use it.

A few hours of rehearsal can save a very bad opening day.

Stage 6: After You Open

Accreditation isn't a one-time event. Requirements can change, systems get updated, and you may add branches or products. Two things are worth planning for:

  • Updates. Ask how your provider keeps up with mall and BIR changes, and whether updates are included.
  • Growth. If you open a second location, you'll want to know how that's handled. Add-on POS modules can add inventory and multi-store management as you grow.

And remember the tax side. The BIR's new e-invoicing rules may apply to your business, separate from anything the mall requires. Check current requirements with the Bureau of Internal Revenue and read RMC No. 98-2026 to see whether you're covered. If you're just setting up, the Department of Trade and Industry is a helpful place for registration questions.

What Tenants Ask Us Most

Does my POS need to be accredited by Ayala Malls? Many malls require tenants to use an approved POS, but the exact rules depend on your lease and your mall. Ask your leasing contact what applies to your branch.

Is Divergent POS accredited by Ayala Malls? Our homepage lists Ayala Malls among our accredited mall partners, as part of a partial list. Because requirements can differ by mall and branch, contact us and tell us where you're opening, and we'll confirm what's in place for your location.

Is BIR accreditation the same as mall accreditation? No. BIR accreditation is about tax requirements, while mall accreditation is the mall's approval of a POS for its tenants. You may need both.

How long does it all take? It depends on whether your provider is already approved for your mall. Some claim pre-accredited setups can save weeks, so ask about timing early and build a buffer into your opening date.

The Short Version

Mall accreditation isn't magic, and it isn't something to fear. It's a handful of steps, with a few people involved, and the best way to protect your opening date is to ask for proof early and make sure someone owns each step. Before you commit to any provider, you can compare setup and plans on our pricing page.

If you're opening in an Ayala mall and want a straight answer about your setup, talk to the Divergent POS team and tell us which mall and branch.
