Greenfield POS Accreditation: What Every Tenant Should Know Before Choosing a POS

Picture three tenants in the same district. The first runs a restaurant in a retail podium, with a full dining room and a busy kitchen. The second has a small shop in a retail strip, with one counter and two staff. The third has a stall at the weekend market in the central park, setting up fresh every Saturday morning.

Same developer, same neighborhood, and three very different days. They've all heard they need an "accredited POS," but what that means for each of them isn't the same. (These are hypothetical tenants, but the situation is a real one.)

That's the first thing to understand about Greenfield. It isn't one mall with one set of tenants. So before we talk about accreditation, let's work out which Greenfield you're in.

Know Your Greenfield

Greenfield District is a mixed-use development in Mandaluyong that consists of an office tower, condominium high-rises, a central park, retail centers, and recreational facilities. You can read the background on Wikipedia.

On the retail side, the developer's own site lists several areas, including the Soho Central, Twin Oaks, and Zitan retail podiums. It also says its retail spaces are being redeveloped into modern, convenient, and active lifestyle centers such as The Hub and The Portal. And in the middle of it all, there's a Greenfield Weekend Market at the Greenfield District Central Park. You can see how the company describes its projects on the Greenfield Development Corporation website.

Here's what that variety means for a POS:

Where you areWhat your day looks likeWhat to look for in a POS
Restaurant in a retail podiumPeak meal rushes, table and kitchen flowFast order entry, kitchen routing, reliable support
Small shop in a retail stripOne counter, small team, varied productsSimple checkout, inventory, clear reports
Weekend market stallFresh setup each time, limited spaceCompact hardware, offline capability, quick start

One more thing: Greenfield also has other developments, such as Greenfield City in Laguna. Don't assume they all follow the same rules, and check requirements for your specific location.

What "Accredited" Actually Means

On POS websites, "accredited" can mean three quite different things:

  • BIR accreditation or registration. Your POS meets tax requirements. You can read more on our page about BIR POS accreditation.
  • Mall accreditation. The mall operator has approved your POS to report sales for its tenants.
  • Official partner status. A commercial arrangement, which isn't the same as approving everyone else.

The claim is also very common. Many POS providers say they're accredited with malls, and the badge alone tells you little.

There's one more thing worth knowing. In one POS provider's public status table, Greenfield is listed as "Ongoing Monitoring," while many other malls are listed as "Accredited." That table isn't dated, so treat it as a snapshot rather than a current fact. But it hints that Greenfield's process may still be settling, which is a good reason to ask any vendor how they handle changes.

Two Files, Two Keys, One Folder

Here's what Greenfield sales reporting appears to involve, based on that same provider's published help documentation. It's one provider's description, not Greenfield's own policy, and other providers may do things differently. But it's a useful look at the moving parts.

Two files

The documentation says the POS generates two files, an end-of-day sales data XML file and a pre-end-of-day sales data XML file. In plain terms, your system produces more than one data file when you close, and a good vendor should be able to tell you exactly what each one is and when it's produced.

Two keys

Each store location also needs a Tenant ID and a Tenant Key, both provided by the mall admin, with the Tenant ID serving as the unique identifier of the store location. Think of them as identification for your store in the mall's system.

That's worth taking seriously, so treat them like passwords:

  • Don't share them in group chats or leave them in screenshots.
  • Store them in a password manager or another secure place.
  • Limit who knows them to the people who genuinely need them.
  • Change or replace them if someone with access leaves, and ask the mall admin how.

One folder (and a manual step)

According to the documentation, the files are sent automatically to a shared online folder at day end, and then the store has to download them and upload them to Greenfield's locally shared network folder.

Did you spot the catch? The first part is automatic. The last part, according to that documentation, needs a person.

The Manual Step: Make It Someone's Job

Whenever a process needs a human to do something every day, it eventually fails, usually on a holiday weekend or the night someone's off sick. The fix isn't complicated, it's just deliberate.

  • Name an owner and a backup. Real names, not "the manager."
  • Set a daily window, such as within an hour of closing.
  • Keep proof. A screenshot or note each day showing the upload was done takes ten seconds and can save hours later.
  • Plan for the awkward days: holidays, weekends, and staff absences.
  • Ask your vendor whether the upload can be automated for your location, and what's possible.

A small shop owner we know taped a note next to her till listing who does the upload on which day. (Swap in a real story of your own if you have one.) It looks too simple to matter, but it works. Good POS software also helps by making your end-of-day reports easy to check, and add-on POS modules can extend your reporting as you grow.

Weekend Markets and Pop-Ups

If you sell at a market stall, your needs are different again. You'll want a compact setup that's quick to unpack, reliable when the internet is patchy, and simple enough for a part-time helper to run.

One question deserves a direct answer from the mall: do market tenants have the same reporting requirements as podium tenants? That isn't publicly documented, so don't guess. Ask your contact.

You can browse typical POS hardware to see compact options, and look for a system that keeps recording sales when the connection drops and syncs once you're back online.

Opening a New Greenfield Location

If you're setting up a new location, here's the typical order of events described in that documentation, again as an illustration:

  1. Request the Tenant ID and Tenant Key from the mall admin.
  2. Arrange access to the shared folder with your provider.
  3. Give the details to your provider, who enters them in the back office and switches sales sending on.
  4. Run a test day end.
  5. Confirm the file reaches the mall.

Who does what is worth getting straight: usually the tenant requests, the mall provides, the vendor configures, and your team handles the last step. And don't consider the store ready until you've seen a file make the whole journey.

Questions to Ask Any POS Vendor

Use this list with every provider, including us:

  • Are you set up for my specific Greenfield location? Not "malls in general."
  • Can I see proof? An accreditation letter or listing, with dates and scope.
  • Which files does your system generate, and who handles the upload?
  • How will I know if a file fails or is missed?
  • How do you handle changes to the mall's process?
  • Who fixes problems, and are evenings and weekends covered?
  • What does it cost? Ask for a written first-year quote. You can check pricing for how our plans are structured.

Then confirm the answers with your own leasing contact. The mall has the final say.

Where Divergent POS Fits

Divergent POS lists Greenfield among the accredited mall partners on our homepage, as part of a partial list that also includes SM, Ayala, Ortigas, Megaworld, and Rockwell. We've served Filipino businesses since 1997, and our systems come with hardware, software, installation, training, and support.

Whatever your counter looks like, the same principle applies. A restaurant POS has to keep up with a meal rush, a cafe POS with a stream of custom orders, and a retail POS with a wide range of products. Tom N Toms Coffee, one of our long-term clients, says our technology and support have helped streamline their operations and customer experience over the years.

Requirements differ by mall and location, so we confirm the specifics with each tenant.

Don't Forget the Tax Layer

Mall reporting and BIR requirements are separate. Your POS needs to produce compliant receipts, and the BIR's new e-invoicing rules may apply to your business. Read our page on BIR updated e-invoicing, check the BIR's RMC No. 98-2026, and confirm current requirements with the Bureau of Internal Revenue.

A system can satisfy the mall and still fall short on tax, and the reverse is also true. Ask every provider about both.

What Tenants Ask Us

Does my POS need to be accredited by Greenfield? Many malls require tenants to use an approved POS, but the specifics depend on your lease and your location. Ask your leasing contact what applies to you.

Is Divergent POS accredited by Greenfield? Our homepage lists Greenfield among our accredited mall partners, as part of a partial list. Because requirements can differ by location, contact us and tell us where you're opening, and we'll confirm what's in place for your space.

Do weekend market stalls need the same setup? We couldn't find a public answer, so confirm directly with Greenfield's leasing team before you buy anything.

What happens if my sales file is missed? That depends on your lease and the mall, so ask your leasing contact. What you can control is making sure someone owns the step, and that you'd notice a gap quickly.

The Bottom Line

Greenfield isn't one mall, and it isn't one kind of tenant. So the best first step is to work out which Greenfield you're in, then find out exactly what's required for your space. After that, protect your keys, give the daily upload an owner, and choose a vendor who can answer the questions above in writing.

If you're opening in Greenfield and want a straight answer about your setup, talk to the Divergent POS team and tell us which location.
